Overview of the Role

Reporting to the Programme Manager, the core of this role is your project planning capability and coorindation.  You will be responsible for ensuring the overall project plan and programme of work is always up to date.  The Programme Manager needs you to always have your finger on the pulse of the project and to be on top of the day-to-day detail of the overall Programme of work.  You will work closely with up to seven Project Managers on this large ERP project, consolidating and maintaining their project plans into the overall programme plan. 

The project is expected to run for 3-4 years, which will have a significant impact of the organisation and its operations.  You will be a go-to person for the project, so you will need to be organised, have strong computer skills and have the ability to prioritise your workload.

You will be comfortable supporting the Programme Manager with administrative tasks, which include arranging meetings, taking minutes, reporting, project financials, maintaining project documentation and the overall programme plan.


Responsibilities include:

  • Day to day management of the overall programme plan and consolidating all projects plans progress into it.
  • Assist the Programme Manager in planning, analysing, and budget management.
  • Prepare and maintain project documentation including project schedules, status reports, presentations, resource plans, meeting schedules, and notes.
  • Ability to assess project risks and issues and provide a solution where applicable
  • Document, monitor, and track process improvement tasks throughout the project.
  • Provide administrative support and coordination to ERP project and teams.
  • Organize and facilitate periodic stakeholders, status meetings, i.e., weekly, bi-weekly, or monthly meetings.
  • Organize and coordinate technical and functional training at specified times during the implementation, according to the Project Timeline Plan, draft and support communication efforts as needed.
  • Other as-needed related project administrative tasks.

Your Skills and Knowledge

Ideally you will have been in IT application Project Coordination or Project Management functions before.  But we are also interested in hearing from candidates who have been in functional roles in ERP projects who can demonstrate the competencies to cross-over into this role.

Core skills and knowledge we are looking for include:

  • Experience working in ERP implementation or similar projects
  • Proficiency in use of Microsoft Projects
  • Proficiency in Microsoft Word, Excel, and PowerPoint
  • Excellent communication, leadership, and project management skills
  • Demonstrated skill in coordinating administration and logistics for project activities
  • Ability to prepare and maintain project documentation including project schedules, status reports, presentations, resource plans, meeting schedules, and notes
  • Good time management and organizational skills
  • Ability to manage day-to-day aspects of IT operation projects with regard to scope, schedule, resources, and budget
